Fill an inspection package

Fill all the assets of an inspection work package in one sheet: fill a row, copy it to the selected rows, fix the exceptions, and submit. Account administrators can fill on behalf of an employee, and supervisors can fill packages from the Customer App.

When an inspection plan uses Team visit or Spread over the period, each assignee receives a work package: all the assets they inspect on one work date. Every asset still keeps its own inspection form, but you fill them together in one sheet.

Open the package

  • From the Inspection forms tab, open a form that belongs to a package and choose Open package sheet.
  • From the cycle board, choose Open package on the package.

The page title shows the package number and its work date. Under it you see the assignee and the cycle dates, then the Assets and properties, Submitted, Failed, Pending, and Progress counters. Failed forms are those whose answers met an automatic request rule. Filter the rows by Status, or search by asset or property name. Back to the cycle returns to the cycle board opened on this package, and Back to inspection forms to the forms tab.

Fill the assets and properties sheet

The Assets and properties sheet has one row per asset or property and one column per checklist question. Most assets pass with the same answers, so:

  1. Fill one row completely.
  2. Tick the rows to fill, or Select all rows on this page (50 rows per page).
  3. Choose Copy row to selected, pick the row under Copy answers from, then Copy answers.
  4. Fix the exceptions: change the answers of the assets that differ, and add a remark where needed.
  5. Choose Save draft to keep your work, or Submit selected to submit the ticked rows.

A row you edit cell by cell saves itself as a draft a moment after your last change. Copy row to selected and Clear answers (which empties the answers of the ticked rows) are kept only when you choose Save draft or Submit selected, or change the page or filters. When you submit, rows with missing answers stay as drafts and show their errors; the other rows are submitted. Submitted forms can no longer be edited.

File and table questions are not filled in the sheet. Their cell shows Answer in the form; use Open form on that row.

If a question was added to the plan after some forms were created, those forms do not have it: the cell shows Not on this form and cannot be filled.

Tip: Use the arrow keys or Tab to move between cells, as in a spreadsheet.

A submitted row is recorded as done. If its answers meet an auto-request rule, the row is recorded as Failed and the maintenance request opens as usual. The row is still Failed when no new request opens, for example because one is already open for that asset.

Filling late

A form opens on the package date. After that date the row shows Overdue, but you can still fill it until the cycle ends. Once the cycle ends, or the line is closed, the row shows Closed.

Who can fill a package

  • The package assignee fills every row. On plans filled by specific people, each person chosen under Inspection forms filled by gets their own package: a technician fills it in the service-provider app, an administrator or supervisor in the customer app.
  • On plans filled by the people of each place (supervisors, maintenance managers, or service providers), each person sees and fills only the rows assigned to them, and the counters count only those rows.
  • An account administrator can fill every row on behalf of the assignee. The account administrator role gets Fill inspection forms on behalf of employees automatically, and only account administrators can use it: supervisors and other roles cannot fill on behalf even with that permission. A notice reminds the administrator, and their name is recorded on each change.
  • Users who can only manage inspection forms see the sheet read-only.

Filling on behalf and read-only access follow the branch you are working in: an account administrator or a read-only user sees every row of a package only while working in its branch. To reach a package of another branch, switch the header branch; from another branch you see only the rows assigned to you, if any. Assignees always reach their own rows.

When an administrator fills rows on behalf of an employee who has the same form open in the app, the employee’s next save keeps those answers: the app saves only the questions the employee changed.

To see who is an account administrator, open Users and roles.

Fill packages in the Customer App

Assignees who work at the property use the Customer App. Open the Packages tab (next to inspection forms, requests and the calendar):

  1. Pick Today, Overdue, or Upcoming. Each card shows the plan, progress, and number of forms. For Spread over the period plans the card covers the whole cycle: your day in it (such as “day 1 of 3”), a strip of your days with each day's state, and the deadline. Your coming days show under Upcoming ahead of time: you see their assets and properties, each marked Opens on the package date, because forms are created on the package day.
  2. Open the package. Pending lines come first, and you can search by name or property.
  3. Open a form and answer it. Copy answers from the previous asset copies the answers of the nearest earlier asset assigned to you that has saved answers (the package assignee can copy from any asset of the package), so you only change what differs. A bar at the top of the form moves between the package forms in route order: Previous, Next, and in the middle the form number (such as “Package · form 2 of 8”), which opens the package. Once the form is submitted, Next takes you to the first form not submitted yet. If you have unsaved answers, the app asks before leaving: Save and go or Go without saving.
  4. When you finish, choose Submit all completed drafts. Drafts with unanswered questions stay as drafts.

On the Inspection forms tab, the forms of one package show as one package card with the plan name and progress; other forms keep their own cards. When you filter by status, plan, or asset, or search, matching forms show one card each.

Technicians chosen under Inspection forms filled by find their inspection packages in the service-provider app under the Packages tab (on the home screen and the inspection forms page), marked Inspection, next to their preventive maintenance packages. The package page, Copy answers from the previous asset, and Submit all completed drafts work the same way — see Work your assigned requests.
