Record quality control observations
Record positive or negative quality events against a property, service, and Service Provider while preserving the details as they were recorded.
Use Quality Control to record a specific positive or negative event and keep its operational context for later review. It is separate from Inspection Plans: an observation is a direct quality record, not an inspection checklist.
Prepare categories
Open Quality Control, then choose Manage Categories at the top of the screen to open the category panel on the same screen before recording observations. Add a translated name, an optional description, and a display order. Deactivate a category when operators should no longer select it. A category linked to an observation cannot be deleted; deactivate it instead. Earlier observations keep the category details captured when they were recorded.
Record an observation
- Open Quality Control from the sidebar and choose New observation.
- Enter the date and time in your timezone, then choose Positive or Negative. Negative observations require a severity; positive observations do not.
- Describe the event clearly enough for another operator to understand it.
- Open Property, select the exact node from the Property hierarchy, then select the Service and the Service Provider being evaluated.
- The Service Provider is required and may be selected whether or not they belong to an operational team.
- Optionally add Evidence by dropping files onto the upload area or selecting them. Supported formats are JPG, JPEG, PNG, WEBP, and PDF, with a maximum of 20 MB per file.
- Choose the category. If it is missing and you can manage categories, type its name and pick Create new category, or use the + button next to the field. Then select Save data to return to the list and open the observation details, or Save and create new to record another one immediately. The table's eye action opens details and Evidence in an in-page modal using the names captured at recording time.
Work with Evidence
Select the eye action in an observation row to view its Evidence. Select an image or PDF to open it in a new tab, or use Download to save it. When you have permission to edit the observation, the edit form lets you remove an individual Evidence file. Removing Evidence does not delete the observation or change its recorded operational context.
You can switch between cards and the table; the system remembers the view on your device. Both views use the same local date range, Property, Service, Service Provider, category, type, and severity filters. Selections appear under Active search filters, where you can remove one filter or clear them all. An illustrated empty state distinguishes an empty list from filters with no matches. Selecting a parent Property also includes observations from its descendants.
When your account uses branches, each observation is filed under its Property's branch, and the list, performance page, monthly report, and Excel export follow the branch selected in the header. On All branches, the list shows the branch and you can filter by it. Categories are shared across all branches.
Review performance
Open Quality Control, then switch to the Quality Performance tab next to Quality observations to review recorded observations. Choose Show filters when you need to change Date from, Date to, Property, Service, Service Provider, category, type, or severity. The panel stays collapsed while you review results, and its header shows how many optional filters are active. A parent Property includes its descendants.
The overview shows total, positive, and negative observations, severity counts, a severity chart, and a trend in your timezone. Property, Service, Service Provider, and category choices load as you use them instead of loading every option with the page. Apply the filters when the reporting context is ready. Positive and negative percentages are shares of the observations recorded in the selected period; they are not a quality or SLA score.
Use Service Providers, Properties, Services, and Categories to inspect the same filtered observations by operational context. Select a count to inspect the observations behind it. Historical names remain as they were captured when each observation was recorded.
Review the monthly report
Open Quality Performance → Monthly Report, choose one month, and apply any Property, Service, Service Provider, category, type, or severity filters. Each row represents one Property and Service Provider. Every day heading shows the full weekday above the date, such as Thursday / 1 September. Green daily counts are positive observations and red daily counts are negative observations for that local calendar day. Select either count to inspect the underlying observations. Severity is available only when the type is Negative.
If you have the export permission, choose Export to Excel to download all matching rows in one Service Provider sheet, not only the current page. The workbook records the applied context, uses a complete heading such as Thursday, 1 September 2026 for every day, and includes a colored key explaining +, −, and 0 before the table.
Note: A blank day cell means no matching observation was recorded. It does not prove attendance, completed work, SLA compliance, or that no issue existed.
Tip: Edit the context only when the original record itself was wrong. Renaming or deactivating a Property, Service Provider, Service, or category does not rewrite an observation's historical labels.
